Position: Associate Project Coordinator – N5

This position is primarily accountable for coordinating the logistics for the First Aid Kit Program, Weight Watchers @ Work Program, Flu Clinic Program and Community Blood / Bone Marrow Drive Program. In addition, this role is responsible for administrative associate functions for the Ergonomics, Health & Wellness group, including, but not limited to: financial functions, meeting & event logistics and all general administrative support.
Under the direction of the program manager, this position is responsible for coordinating:
Seasonal influenza vaccination program. Responsibilities include being the primary point of contact, scheduling approximately 45 flu clinics in SSF, Dixon and all outside sales meetings; submit and manage vendor contracts, create & execute hard copy and electronic promotional materials, and provide in-person oversight of on-site flu clinics in SSF, including escorting vendors and ensuring a seamless experience for employees. Additional responsibilities include maintaining the content of the web page and reporting performance metrics.
First aid kits (approximately 600 kits) in SSF and Dixon. Responsibilities include being the primary point of contact, vendor oversight, assisting with restricted area access and training for the vendors performing the work, managing all incoming requests for new kits and kit maintenance, coordinating quarterly meetings with vendor and conducting spot checks as well as an annual audit. Additional responsibilities include maintaining the content of the web page and reporting performance metrics.
Weight Watchers @ Work (both online and @work) program in SSF. Responsibilities include being the primary point of contact, management of weekly meeting logistics in SSF, coordinating outreach for new members, conducting annual member surveys and maintaining the Weight Watchers Portal System Administrator. Additional responsibilities include maintaining the content of the web page and reporting performance metrics.
Community blood drive program and bone marrow registry- Responsibilities include being the primary point of contact, working with vendors to coordinate events throughout the year, manage all logistics, communication and promotion. Additional responsibilities include maintaining the web page content and reporting performance metrics.
Cost Center Financials and Contract Administration responsibilities include, but are not limited to managing contracts, purchase orders, invoices, opening shopping carts, daily requisitioning, running monthly invoice/PO inquiry reports, monthly recoding of charges and tracking spend against budget.
General administrative support for a team of 9 people. Responsibilities include scheduling and coordinating logistics for all internal meetings, events and catering requests as well as off-site events (meetings and conferences); coordinating scheduling, logistics and serving as primary contact for visitors and guests; making business travel arrangements; managing CPR renewal and computer / technology refresh program for the group; ordering supplies; and assisting with preparation of presentation materials.
